And each of these services has one thing in common: it takes place on a specific day and time.

Therefore, when a new request arrives, it is not enough to consult existing budgets. It is also necessary to know what other services are scheduled for that date and what their status is.

Gomeralia uses Holded as its ERP to manage its budgets, but needed a way to visualize this information in a calendar.

Although budgets contain data related to the service date, Holded did not offer the temporal view the company needed to organize its activity.

The challenge was not to replace their management system, but to make the information it already contained accessible in a more practical way.

The Solution: Connecting Holded with Google Calendar

At DMS3, we proposed a solution based on a simple idea: if Google Calendar is already the tool used for planning, why not bring budget information into it?

Instead of developing a new planning platform, we created a custom ERP integration that connects Holded budgets with Google Calendar.

In this way, budgeted services appear directly in the calendar, placed on the corresponding date and time.

And most importantly: there’s no need to wait for a budget to be accepted to visualize it. The information can appear in the calendar from the moment the budget is being prepared, allowing both confirmed and pending services to be kept in mind.

A Calendar Organized by Service Type

The integration is not limited to automatically creating events. It also allows them to be visually differentiated through a color system.

Each service type is associated with an accounting account in Holded, and this classification is used to assign a color to Google Calendar events.

For example:

Pink: weddings.

Blue: corporate events.

Other colors: different service categories.

Thus, with a single glance at the calendar, Gomeralia can identify what type of events are scheduled and how they are distributed throughout the days.

All Budget Information, Accessible from the Calendar

For the calendar to be truly useful, each event incorporates relevant information from the budget it is linked to.

Among other data, it includes:

The client’s name and budget reference in the event title.

The date and time of the service.

A description with the basic budget information.

A link to the budget document stored in Google Drive.

This allows consulting the details of a service directly from Google Calendar and accessing its documentation without having to search for it manually.

The integration, therefore, connects three tools: Holded as a management system, Google Calendar as a planning space, and Google Drive as access to documentation.

An Integration That Keeps Information Updated

One of the most important aspects of the project is that the connection between Holded and Google Calendar is not simply about copying information.

The integration allows identifying which calendar event corresponds to each Holded budget.

Thanks to this linkage, when a budget is modified, the system can detect the change and update the information of the corresponding event.

For example, if the planned date of a service changes, the event can be moved to the new day in Google Calendar, maintaining the relationship with the original budget.

The solution also takes into account the different statuses of budgets, such as pending or accepted, so that planning reflects their situation.

In this way, Holded remains the origin point of the information, while Google Calendar offers a visualization adapted to Gomeralia’s operational needs.

All this without having to manually enter the same data into different tools.

The Result: More Agile and Connected Planning

Thanks to this integration, Gomeralia can visualize all its budgeted services in a calendar, quickly identify their type and status, and access the information of each event from a single place.

Furthermore, the automatic data update avoids duplicating tasks and facilitates service coordination.

This project demonstrates that it is not always necessary to incorporate new tools to improve a company’s processes. Sometimes, the key is to connect the ones it already uses.

How can services and events be planned when all information is in an ERP, but you need to visualize it in a calendar?
